[Service Alert] Disruption to SharePoint Services for planned maintenance 8:00am to 2:00pm Saturday 1st July

Users may experience a brief disruption to SharePoint Services between 8.00am and 2:00pm on Saturday 1st July 2017. This is to accommodate some essential maintenance work to upgrade the version of SQL server to a newer version (2012 R2), and it is needed to address a known issue with stability.

During the maintenance work, we do not anticipate any prolonged period of service outage. However, the SharePoint service should be considered ‘at-risk’ during the above period. Users are requested to avoid using (and particularly editing) any SharePoint sites or SharePoint-hosted documents, during the ‘at risk’ period to prevent loss of unsaved data.

Services potentially affected include:

  • All sites hosted in the https://edrm.essex.ac.uk domain (PG EAF, UG EAF, ESF, Agent Online Services, Reporting)
  • All sites hosted in the https://sp.essex.ac.uk domain
  • All personal mysites hosted in the https://mysite.essex.ac.uk domain.

We apologise for any inconvenience this will cause.

Notification will be made to users when the service is restored to full usability.

[Service Alert] Problem with purchasing guest tickets for graduation (phase 2)

We are continuing to work on the issues created by last week’s external provider outage. This means we are unable to reopen the booking system today (Wednesday 21st June)

Phase 2 will now open on Monday 26th June. Email notification with a link to the opening times and further information will be sent to Essex and external email addresses by the end of the week.

Sending personal information? Stop and think!

If you’ve been watching the news this week you may have spotted that a staff member at the University of East Anglia accidentally sent out information about students’ extenuating circumstances to people who had no right to see that information. It’s horribly easy to email the wrong person, especially when you’re busy, so here are our tips for making sure you don’t make the same mistake.

1. Stop and think! Of course deadlines are important, but it takes more time to clear up after misdirecting personal information than it takes to stop and think before you share it.

2. If possible, avoid sending information by email. Deposit it in a shared folder or SharePoint or somewhere else that the person, or people,  you need to share it with can access it directly.

3. Send anonymised information. Does the person you are sending to need the names of individuals, or other identifying details? If not, take them out before you send the information.

4. Have a look at our advice on how to  ensure you email the right person.

If you still manage to send personal information to the wrong place, don’t panic – report it.

[Service Alert] Problem with iTrent HR and recruitment systems

[Update – 0930]

All servers are now operational again and we believe that all services have been restored.

Whilst the underlying causes of the issue are not fully understood, we believe we understand what triggered the event and will investigate this further.


 

There is a system fault affecting the virtual servers that run the iTrent HR and recruitment systems which has rendered the system inaccessible.

IT Services staff are already investigating the problem and if we don’t have a resolution by 9am we will update you on progress at that time.

We regret the problems that this will be causing and can assure you that we are doing all we can to restore the system to full operation as soon as possible.

All IT Services labs and group study pods will close at 3pm this Friday until 8am Monday morning

In keeping with previous years, due to The End and Summer Ball celebrations this weekend all IT Services labs and group study pods at Colchester Campus will be closed from 3pm on Friday 9 June until 8am on Monday 12 June.

This is with the exception of the Silberrad Student Centre which will be open as usual on Saturday and Sunday, and the Albert Sloman Library (see Library opening hours).

This decision was taken following discussions with the Registrar, University Security manager, Director of IT Services and other IT Services staff.
