Booking Annual Leave in HR Organiser

What is HR Organiser?

HR Organiser is an online self-service system that gives employees easy access to view and amend their employment information via a dedicated and secure web portal.

You can already access your payslips and book training and development. Over the coming months, annual leave, sickness absence recording, expenses and HR records will continue to move onto the new system.

The University is moving to an online system to make our processes more efficient, reducing paperwork and saving you time and effort. It will also allow us to collect information in one place, enabling us to spot problems and take action.

Most areas of Professional Services have already gone live with booking annual leave – for all staff within Faculties, annual leave went live on 18th April.

Recording Annual Leave via HR Organiser – What this means for you

You will now have to submit an online form to request annual leave. It is very simple to do, and we have quick user guides and training sessions designed to help you. Once you have submitted this form, your Manager or Head of Department will receive an email, informing them of your request. If they approve your leave, you will get one email confirming the holiday, and another containing an appointment to add to your Outlook calendar.

Academic Departments should also be using HR Organiser to record annual leave.  Depending on your Faculty, some departments will only require authorisation by a Head of Department if the annual leave is requested during term time. However, all leave requests should still be recorded on HR Organiser, both during term time and out of term time.  For more information, have a look at our list of Departmental Authorisations.

This process means that you will not only be provided with an online record of your leave, but you will also be able to keep up-to-date with your available holiday balance, helping to ensure that you make use of your entitled leave.

Where can I get help?

We have arranged ‘Using HR Organiser’ sessions, so you can familiarise yourself with the new developments of HR Organiser. These sessions will give you a chance to explore and practice the recording of annual leave and sickness absence based on your actual access; they will also look at the role of People Manager in these processes.

The annual leave module will be followed over the next few months by:

  • In June, a fully integrated online recruitment tool that will link with our HR system to improve the experience for candidates and recruiting managers.
  • In July, using HR Organiser to record sickness absence and other types of absence such as compassionate leave.
  • In August, moving our expenses process online to improve our efficiency.
